Standard Booking Terms And Conditions
Booking confirmation:
By sending a booking request you confirm to have read these booking conditions and agree to be bound thereto.
Booking requests are processed upon receipt of a written request via email. Booking requests made via telephone, WhatsApp, or any other form of verbal communication will not be accepted.
Deposit and payment:
A 30% deposit of the total invoice amount is required at the time of booking to begin confirming services. Of this amount, 20% of the total booking value is non-refundable and will be retained as a booking fee. The remaining balance must be settled at least 45 days prior to the date of arrival.
If a booking is made within 45 days prior to the arrival date, the full invoice amount MUST be paid within 7 days of the booking confirmation.
Gorilla and other primate permits:
All Gorilla, Chimpanzee and Golden Monkey permits require full payment upon booking. By confirming your booking, you are giving Gorilla O’clock permission to secure the permits. Once secured, the full cost is not refundable. However, permits may be rescheduled to a later date, provided the new date falls within one year of the original booking date, subject to a 25% of the total permit fee.
Cancellation policy:
All cancellations or amendments must be submitted in writing via email to Gorilla O’clock to be considered valid. In the event of cancellation or amendment of a Booking after confirmation, the following policy applies:
- From confirmation up to 61 days prior to arrival – 30% deposit is retained as a booking fee and will not be refunded.
- 60 to 31 days prior to arrival – 50% of the total invoice amount is retained.
- 30 days or less prior to arrival – No Refund.
If a certain supplier imposes a higher cancellation penalty amount, this amount will be added to the applicable cancellation charges.
No refunds will be made in case of late arrival or no show.
However, if the traveller cannot honour the booking due to death or hospitalization, and reasonable proof is provided, no amount beyond the deposit will be payable.
Gorilla, Chimpanzee and Golden Monkeys permits are non-refundable, non-transferable and cannot be modified under all circumstances.
Currency:
All prices, rates and invoices are quoted in USD. Payment in other currencies will only be accepted by pre-arrangement. Gorilla O’clock is not responsible for exchange rate fluctuations or bank intermediary fees.
Weight & Luggage restrictions:
When travelling on light aircraft services on a seat-rate basis, the following restrictions apply:
- Passengers weighing more than 100 kg must inform Gorilla O’clock in advance, as an additional seat may be required for safety and weight-balance purposes.
- Most airlines operating in Tanzania, Kenya, and Uganda allow a maximum baggage allowance of 15 kg per passenger. This must be packed into a soft bag/s and includes camera equipment and carry-on luggage. Additional baggage allowance may be purchased upon request, subject to airline policies and availability.
Any additional costs incurred due to excess baggage will be the responsibility of the traveller.
Changes in rates:
While Gorilla O’clock aims to honour confirmed rates, it reserves the right to adjust prices due to circumstances beyond its control, including but not limited to; fuel prices, exchange rates, camping/concession fees, service levies or tax increases. If significant changes imposed by government bodies or regulatory authorities occur, Gorilla O’clock reserves the right to adjust rates on confirmed bookings if necessary to maintain economically sustainable operations. Any increases imposed by third-party suppliers after booking confirmation, such as airline price changes, will be payable by the client.
Insurance & other:
Gorilla O’clock strongly recommends that all travellers obtain comprehensive travel insurance covering cancellation, medical expenses, evacuation, and repatriation.
Travellers are also encouraged to obtain an Emergency Evacuation Cover of USD 35 per person through Gorilla O’clock at the time of booking to ensure coverage with AMREF Flying Doctors.
Check in and departure times:
Check in is available from 2pm onwards and check out is required by 10am on the scheduled day of arrival/departure. Early arrivals or late departures may incur additional charges depending on the accommodation.
Force Majeure:
Gorilla O’clock shall not be held liable for failure or delay in performing its obligations where such failure results from Force Majeure events.
Force Majeure includes, but is not limited to, war or threat of war, sabotage, civil disturbance, or requisition, acts of God, fire, accident, flood or explosion, sickness, quarantine, Government intervention, weather conditions or other untoward occurrences. In such circumstances, Gorilla O’clock reserves the right to cancel or modify travel arrangements. Any refunds will be made at the sole discretion of Gorilla O’clock where possible.
Health and Travel Documents:
It is the sole responsibility of the traveller to ensure that all necessary travel documents, visas, vaccinations, and health requirements are obtained prior to travel. Gorilla O’clock accepts no liability if a traveller is denied entry into any country due to missing documentation. While every effort is made to safeguard the health of guests, Gorilla O’clock is not liable for any illness contracted during their travels in East Africa.
Photography and Marketing:
Photographs or video footage taken during the trip may be used by Gorilla O’clock for marketing and promotional purposes. Travellers who do not wish to appear in such materials must notify Gorilla O’clock in writing prior to or during the trip.
General:
Failure of Gorilla O’clock to enforce any provision of these booking conditions shall not constitute a waiver of that provision. If any provision of these terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall remain in full force and effect.
Gorilla O’clock reserves the right to recover damages in lieu of such penalty.
Disputes and governing law:
These booking conditions shall be governed by the laws of the country in which the Gorilla O’clock entity receiving payment is incorporated. Any complaints or claims related to a booking must be submitted in writing within 10 days of the occurrence.
Service-related complaints must be reported immediately to the Gorilla O’clock team to allow for prompt resolution.
